Responsibilities
• Handle incoming inquiries professionally via phone and email, serving as the first point of contact for clients and partners to ensure a superior customer service experience.
• Execute precise data entry by managing order data and updating customer information within the sales management system to maintain accurate records for the business administration team.
• Collaborate closely with the production team to monitor inventory, manage expectations, and adjust lead times to ensure on-time delivery for customers.
• Coordinate complex logistics, including arranging product shipments and scheduling pickups with various courier companies to streamline the supply chain process.
• Generate and issue essential financial and operational documents, including invoices, packing slips, and order acknowledgments, ensuring all paperwork meets compliance standards.
• Manage the sample distribution process by arranging and dispatching product samples to current and prospective clients, helping to drive sales and market engagement.
• Provide comprehensive general administrative support to the management and operational teams to ensure the office runs efficiently and effectively.
• Monitor and organize office supplies and filing systems, contributing to a tidy and structured work environment that facilitates productivity.
Qualifications
Candidates wishing to apply for this role must meet the following criteria to be considered:
• A diploma or degree from a post-secondary institution, or an equivalent combination of education and relevant professional experience.
• Minimum of 3 years of experience in a customer service role, administrative support, or a related business administration field.
• Complete fluency in English (written and spoken) is mandatory; Japanese communication skills are an asset but not required.
• A valid Canadian driver’s license is required for this role.
• Physical ability to occasionally lift sample boxes weighing approximately 28 lbs to assist with shipping and office organization.
• Demonstrated interest or previous experience in the woodworking, manufacturing, or interior design industry is highly preferred.
• Reliable transportation to the workplace for an in-person role.
